Last updated: 21 October 2026
1. About Read, Play, Create
Read, Play, Create LTD provides educational consultancy, staff development and targeted support for nurseries, early years settings, primary schools and educational organisations.
Our services include EYFS consultancy, Purposeful Provision Reviews, English and literacy consultancy, staff development, and targeted language and literacy interventions.
These Terms and Conditions apply to services commissioned by schools, nurseries, educational organisations and other professional clients.
By confirming a booking, you agree to these terms alongside any specific arrangements agreed in writing.
2. Enquiries and Bookings
All initial enquiries are welcome and come with no obligation to book.
Before confirming a service, we will discuss your requirements, the proposed support, relevant dates, fees and any additional costs.
A booking is confirmed once the service, price and delivery arrangements have been agreed in writing by both parties.
Where a purchase order is required by the commissioning organisation, this should be provided before the invoice is issued.
Any subsequent changes to the agreed service must be discussed and confirmed in writing.
3. Fees and Payment
All fees will be agreed in writing before a booking is confirmed.
Once a booking has been confirmed, an invoice will be issued to the commissioning school, setting or organisation.
Payment is required within 30 calendar days of the invoice date, unless alternative arrangements have been agreed in writing.
Our standard Purposeful Provision Review options are:
-
Focused Purposeful Provision Review — £425
-
Full Purposeful Provision Review & Team Development — £725
Other consultancy, staff development and intervention services will be quoted individually.
Any applicable VAT and additional agreed expenses will be clearly identified on the invoice.
Read, Play, Create reserves the right to charge statutory interest and applicable debt recovery costs on overdue commercial payments where permitted by law.
4. Travel and Additional Expenses
Travel within 15 miles of our agreed business base is included in the standard Purposeful Provision Review prices.
For visits further afield, additional travel charges may apply. These may include mileage, travel time, parking or other reasonable expenses.
Any additional charges will be discussed and agreed before the booking is confirmed.
5. Cancellations and Rearrangements
We understand that circumstances can change, particularly in busy schools and early years settings.
We aim to be flexible and accommodating wherever possible while also protecting the time, preparation and resources committed to each booking.
Rearranging a Booking
If you need to rearrange a confirmed booking, please contact Read, Play, Create as soon as possible.
7 calendar days or more before the agreed delivery date
Bookings can be rearranged at no additional charge, subject to availability.
Less than 7 calendar days before the agreed delivery date
We will make every reasonable effort to accommodate a new date. Additional charges may apply where preparation, travel arrangements or other costs cannot reasonably be transferred to the rearranged booking.
Any additional charges will be explained before the new date is agreed.
Cancelling a Booking
If you need to cancel a booking completely, the following cancellation policy applies:
14 calendar days or more before delivery
No standard cancellation fee will apply.
However, any separately agreed bespoke work already completed or unavoidable third-party expenses may still be payable.
7–13 calendar days before delivery
A cancellation charge of 50% of the agreed booking fee will normally apply.
This reflects the preparation undertaken, time reserved and potential loss of other work.
Less than 7 calendar days before delivery
A cancellation charge of up to 100% of the agreed booking fee may apply, depending on the preparation completed, costs incurred and whether the reserved time can reasonably be reallocated.
How Cancellation Charges Are Calculated
Cancellation charges are intended to reflect reasonable costs and losses arising from the cancellation, not to act as a penalty.
We will take reasonable steps to minimise losses and will reduce a stated charge where it would otherwise be disproportionate.
Any bespoke preparation costs already included within a cancellation charge will not be charged again separately.
Where requested, we will explain how the final amount has been calculated.
Cancelling an Intervention Programme
Where a school or setting has booked a programme of intervention sessions, we will aim to rearrange individual sessions where possible.
If the programme is cancelled, any charges will take account of sessions already delivered, preparation completed, expenses incurred and reasonable losses associated with future sessions.
The notice periods above will normally apply to the affected sessions, with any changes agreed in writing.
If Read, Play, Create Needs to Rearrange or Cancel
In the unlikely event that we are unable to deliver an agreed service due to illness, emergency or circumstances outside our reasonable control, we will contact you as soon as possible.
Where possible, an alternative date will be offered.
If a mutually suitable date cannot be agreed and the service cannot proceed, any payment relating to services not delivered will be refunded.
No cancellation charge will apply to the client in these circumstances.
Invoices, Credits and Refunds
As invoices are issued when bookings are confirmed, payment may already have been made before a cancellation occurs.
Where a cancellation results in a reduction of the amount payable, an appropriate credit note or revised invoice will be issued.
Any refund due will be processed within 14 calendar days of the final amount being agreed.
All cancellation and rearrangement requests should be made in writing by email. Notice periods will be calculated from the date the request is received.
6. Preparing for Consultancy Reviews
For consultancy visits and Purposeful Provision Reviews, clients may be asked to complete a short questionnaire and share relevant existing documents beforehand.
These might include planning, curriculum information, progression documents or current improvement priorities.
There is no expectation that settings create additional paperwork or prepare special activities for a review.
The aim is to understand everyday practice and provide feedback that reflects the setting.
Clients agree to provide reasonable access to the people, learning environments and information required to deliver the agreed service safely and effectively.
7. Reviews, Reports and Recommendations
Consultancy reviews are designed to support reflection, professional development and improvement.
They are not formal inspections, regulatory assessments or judgements of individual staff performance.
Findings and recommendations will be based on the information available and practice observed during the agreed review period.
Written summaries, reports and action plans will be provided within the timeframe agreed at booking.
While every effort is made to provide practical, evidence-informed recommendations, implementation remains the responsibility of the school or setting.
Read, Play, Create cannot guarantee specific pupil outcomes, inspection judgements or improvements in assessment results.
8. Staff Development
Staff development sessions are planned around the agreed aims, audience and format.
Where bespoke development is commissioned, clients agree to provide relevant information about their team's needs and priorities in sufficient time for preparation.
Unless otherwise agreed, the commissioning organisation is responsible for providing an appropriate venue, presentation equipment and any necessary access to facilities.
Significant changes to the agreed content, duration or delivery format may require a revised quotation.
9. Targeted Interventions and Safeguarding
Targeted interventions are tailored to the needs of the pupils involved and the objectives agreed with the school or setting.
Schools and settings retain their safeguarding, supervision, statutory and educational responsibilities for pupils in their care.
Before intervention work begins, appropriate arrangements will be agreed for safeguarding, supervision, access to relevant pupil information and the reporting of concerns.
Read, Play, Create will follow applicable safeguarding requirements and the host setting's relevant procedures.
Any checks or authorisations required for the particular assignment must be established before delivery.
Where appropriate, intervention work may link to existing pupil targets, support plans or EHCP outcomes.
Support aims to strengthen pupils' communication, confidence and access to learning, but specific progress or outcomes cannot be guaranteed.
10. Confidentiality and Data Protection
Information shared by schools and early years settings will be treated confidentially and handled with appropriate care.
Both parties agree to comply with applicable UK data protection legislation.
Where personal or sensitive pupil information needs to be shared, appropriate arrangements will be agreed in advance, including any necessary data-sharing or processing agreements.
Information obtained through consultancy or intervention work will only be used and disclosed for appropriate purposes or where required by law.
Confidentiality does not prevent the disclosure of information where necessary to meet safeguarding or other legal obligations.
Personal information will be handled in accordance with our Privacy Policy.
11. Photographs and Recordings
Photographs or recordings will not be taken during consultancy visits, staff development or intervention sessions without appropriate permission.
Where photographs of provision or resources are useful for review purposes, agreement will be sought from the setting beforehand.
Identifiable images or recordings of children will not be used for publicity or marketing without the necessary permissions and lawful basis.
12. Resources and Intellectual Property
Unless otherwise agreed in writing, frameworks, training materials, templates, presentations and resources developed by Read, Play, Create remain our intellectual property.
Commissioning organisations may use materials supplied as part of their service internally for their own educational and professional development purposes.
Materials must not be resold, commercially reproduced, published or distributed to other organisations without written permission.
Written consultancy reports and recommendations may be shared internally within the commissioning organisation for improvement and development purposes.
Any wider publication or external distribution should be agreed in advance.
13. Responsibility and Liability
Read, Play, Create will deliver services with reasonable care and skill.
Professional guidance and recommendations are intended to support educational decision-making.
Schools and settings remain responsible for their own policies, staffing, safeguarding arrangements, curriculum decisions and implementation of recommendations.
Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Any other liability will be subject to applicable law and the written terms agreed for the particular engagement.
14. Circumstances Outside Our Control
Neither party will be responsible for delays or failures caused by circumstances genuinely outside its reasonable control.
Where such circumstances arise, both parties agree to communicate promptly and make reasonable efforts to find a suitable solution.
15. Concerns and Complaints
If you have any concerns about a service provided by Read, Play, Create, please contact us as soon as possible.
We take feedback seriously and aim to resolve any concerns promptly, fairly and professionally.
16. Changes to These Terms
These Terms and Conditions may be updated periodically.
The version provided or made available when a booking is confirmed will apply to that booking, unless both parties agree otherwise in writing.
17. Governing Law
These Terms and Conditions are governed by the laws of England and Wales.
Any disputes will be subject to the jurisdiction of the courts of England and Wales, subject to applicable law.
